Use Case
- Configure an existing Google Drive folder or subfolder for use with eXtendFiles.
Summary
When configuring eXtendFiles to use Google Drive as cloud storage, a folder with the specified name will be automatically created upon authentication with Google Drive. This folder will be located in the root directory of the user who authenticated eXtendFiles with Google Drive.
However, there may be cases where the uploaded files need to be saved in a location other than a specific user's root My Drive directory. This could include a My Drive subfolder shared with multiple users or a Shared drive.
This article will guide you through the steps to configure a pre-existing Google Drive folder for use with eXtendFiles.
Configuration Steps
Prerequisites
- Identify the folder which you want to configure for use with eXtendFiles.
- If the folder doesn't yet exist, create a folder in Google Drive in the desired location.
- For a My Drive folder or subfolder, the user who will be authenticating eXtendFiles with Google Drive will need Editor or higher permissions to the folder. For a Shared drive, the user who will be authenticating eXtendFiles with Google Drive will need Contributor, Content manager, or Manager permissions to the Shared drive.
- Copy the folder path within Google Drive for use in later steps:For example:My Drive: eXtendFiles/Files
Shared drive: Shared drive/eXtendFiles - Copy the folder ID which is shown in the folder's URL in Google Drive.For example, in this sample folder URLthe folder ID is 0B5pjCTt4QJo_YndKQURfb3hiNt8
eXtendFiles Setup Configuration
- Open the eXtendFiles Setup page. In the field FOLDER NAME (TO BE CREATED IN DRIVE) specify the folder path of your folder (Prerequisite #4).
- Save the eXtendFiles Setup page. Do not perform the Google Drive authentication.
Folder ID Configuration
- To configure the folder ID, go to Setup → Company → General Preferences.
- Select the Custom Preferences tab and specify the folder ID in the field EXTENDTECH FILES DRIVE FOLDER ID (Prerequisite #5).
- Save the General Preferences page.
Authenticate with Google Drive
- After the eXtendFiles Setup Configuration and Folder ID Configuration steps have been completed, go to the eXtendFiles Setup page and click the Click to Authenticate for Google Drive button.
- Proceed with the authentication process in Configure and Authenticate eXtendFiles for Storage with Google Drive at the "Click to Authenticate for Google Drive" step.
