Overview

eXtendPS-DE supports the creation of autonomous vendor bills for invoices received from vendors via PromoStandards where the invoices do not have a purchase order reference number on them, or the purchase order reference present on the vendor bill does not exist in your NetSuite account.

The vendor bill record will be generated using the items in your NetSuite account that match the items on the vendor's invoice response record. If there are shipping lines or tax lines on the invoice response record, they will be added to the vendor bill record using the items specified by your NetSuite Administrator on the eXtendPS-DE Setup page.

If any line items on the invoice response record do not match with item records in your NetSuite account, those lines will be added as expense lines in the generated vendor bill record. If shipping or tax items are present on the invoice response record, they will also be added as expense lines on the vendor bill. In these cases, the expense account from the associated vendor record will be used. If an expense account is not defined on the vendor record, the default expense account configured in your NetSuite account (Setup → Accounting → Accounting Preferences) will be used.

Additional Notes

If you do not want autonomous vendor bill generation to occur, eXtendPS-DE Invoice Response records which do not have a NetSuite Purchase Order number assigned to them can be excluded from scheduled or real-time processing by updating the associated workflows for those processes.

The workflows in your environment should be copied versions of the workflows above with similar names. Contact your NetSuite Administrator to review the custom workflows which may be deployed in your environment.
