Overview

When you need to remove an eXtendFiles record, it is important to understand the difference between removing the eXtendFile record reference and deleting the actual eXtendFiles from your cloud storage.

Removing an eXtendFile Record Reference

Clicking on the Remove link in the eXtendFiles sublist only removes the association between the eXtendFiles record and a Record Reference that has been set on the eXtendFiles record. The eXtendFiles record will remain in NetSuite, and your file will remain in your cloud storage. The Remove link shown in the eXtendFiles sublist is a native NetSuite feature. This link can be found by scrolling to the far right column of the sublist.

Hiding the Remove option

Because Remove is a native NetSuite sublist action, you can hide it by customizing the "eXtendFiles" custom record definition.

  • If you want to hide Remove for all users, update the "Show Remove Link" preference on the "eXtendFiles" custom record definition.

  • If you want to hide Remove only for certain users, review role permissions and identify which roles need to be adjusted. These users must have View or Create access to the eXtendFiles record to prevent access to the native Remove option.

Important: If you modify the eXtendFiles custom record definition, changes may be reset after an update. Deleting an eXtendFile Record

Deleting an eXtendFiles record deletes the Record Reference and the eXtendFiles record. Your file may also be deleted from your cloud storage (see FAQ below).

To delete an eXtendFile record:
  1. Open the eXtendFiles record in Edit mode
  2. Choose "Delete" from the Actions menu

Q: Can I control whether files are deleted from cloud storage when I delete an eXtendFile record?
A:
Yes, there is a preference in the eXtendFiles Configuration page that enables or disables file deletion from your cloud storage. Q: Why isn't the Delete option showing under Actions?
A: If you don't see the Delete option under Actions, it could be due to one of the following reasons:
  • NetSuite permissions: You may not have the necessary permissions to delete records
  • Form configuration: The Delete option may not be configured to appear on your form
