Overview

Using NetSuite's built-in CSV import process, you can import decoration details for your eXtendOrders preconfigured items in bulk as opposed to creating the Order Imprint Configuration (OIC) records in NetSuite directly using the native custom record or the item record's order configurator.

However, we recommend using the item record's order configurator to create some sample OIC records which can be exported and further modified to make sure you capture all the expected details for use within the CSV import file. Depending on the specific decoration details which you are wanting to import, your CSV import file may vary from what is shown in this article.

Recommendations

  1. Configure and deploy the eXtendOrders Validate OIC workflow prior to creating preconfigured OIC records. See Validate Pre-Configured OIC Records with eXtendOrders 2.0 for deployment details.

  2. Use the item record's order configurator to create some preconfigured item OIC records for review and to use as a base for your CSV import file. See Create Pre-Configured Items with the eXtendOrders Configurator UI on the Item Record for more information.

  3. While creating a search on the OIC record for creating an import template, make sure to include fields that are mentioned in the OIC Import Sample CSV file attached in the next section.

  4. Start with importing a smaller batch of preconfigured OIC records prior to performing a larger import.

Sample File

The attached sample file contains a very simple preconfigured OIC for the "Demo Item" item.
  • The item will come from the "Main Item Vendor" and be decorated by the "Decorator Vendor".
  • There will be two different configurations for this item containing different decoration methods and decorations details.

Many of the details within this file will depend on your specific use case.

CSV Import Process

  1. Prepare your CSV file with the necessary data for your preconfigured item import. Make sure the column headers match the field names in NetSuite to allow for easier mapping.

  2. In NetSuite, go to Setup  Import/ExportImport CSV Records.

  3. Select the Custom Record option and choose the eXtend OIC Order Imprint Configuration custom record type. Note: the name of this record may vary slightly depending on when eXtendOrders was installed in your account.

  5. On the Import Options page there are no changes to make when creating new records. If you are updating existing records, ensure that you select the appropriate Data Handling type and that your existing records are properly referenced in the next step.

  6. Map the fields in your CSV file to the corresponding fields in NetSuite and then proceed to the next step. When using the sample file or an export of an existing OIC record, most fields should map automatically.

Note: If expected fields are not showing under "NetSuite Fields" make sure that the fields are visible on the form which you are importing against.

  7. Use the Run or Save & Run button to start your custom record import into NetSuite.

It's important to note that the CSV Import process may take some time to complete depending on the size of your CSV file and the complexity of your custom record. Be patient and ensure that all data is accurately imported before using it in your business processes.
