Overview
eXtendFiles enables you to add any number of new files to a record within NetSuite. These files can include artwork, proofs, or any other business documents relevant to your use case.
Adding Files from the eXtendFiles Sublist
Note: The Sales Order record is used in the example below, but these steps are applicable to any record type where eXtendFiles has been enabled. Have your NetSuite Administrator refer to Add eXtendFiles to a New Record Type for more details on record enablement.
1. Locate and open a Sales Order in view mode within NetSuite.
2. Select the eXtendFiles subtab.
3. Click the New eXtendFiles button.
4. Choose the appropriate file type
from the File Type
(Custom) dropdown to classify your file.
Note: File classification options depend on the settings configured by your NetSuite Administrator. See Add a new eXtendFiles File Type for more information.
5. If you’re uploading a single
file, you can either upload the file via the Choose File button or you can drag
and drop the file in the designated upload area. If you’re uploading multiple files, you must drag and drop them into the
designated area. Note: Due to NetSuite Script Governance limitations, a maximum of 15 files can be uploaded at a time.
During upload, the status of
the upload will be displayed below the File Upload area. It will show 100% when the files are
completely uploaded.
After the file upload is
complete, click the Save button to
save your changes and return to the Sales Order.

Copying eXtendFiles Records
When copying an eXtendFiles record using NetSuite's "Make Copy" function, all the record references which are configured on the source record will be copied
to the new record.
To avoid this behavior (to link the copied file with new records), the workflow eXtendFiles Copy [B] is included with eXtendFiles and it will clear all the record references and approval
information on the new record.
If you have added custom fields to your
eXtendFiles record, we recommend creating a copy of this workflow and configuring your custom fields to be cleared while copying the record as well.
Adding Existing eXtendFiles to a Sales Order
eXtendFiles enables you to add any number of new files to a record within NetSuite. These files can include artwork, proofs, or any other business documents relevant to your use case.
The Sales Order record is used in the example below, but these steps are applicable on the Purchase Order record as well.
To add one or more existing files to the
Sales Order:
1. Locate and open the Sales Order in edit mode within NetSuite.
2. Select the eXtendFiles subtab.
3. C
lick the Attach eXtendFiles button.This will open a new window
and will display the eXtendFiles records which have already been uploaded for the customer which is currently
listed on the Sales Order.
4. Select the appropriate file
or files to be added to the Sales Order. You can search for them by entering a prior transaction number or the
specific file name.
5. Once selected, the file or
files will have a green checkmark in the upper left of the image. You can click the image to deselect the file.
6. Click the Done button to add the files to the
Sales Order.
7. The list of selected
files will be displayed in the eXtendFiles subtab within the eXtendFiles List area.
You can click on the copy
icon to copy the links to your clipboard. If you have sufficient permission to
view private files, then you can generate and copy public links of these files
by clicking on the copy icon. You can view a video demo of the feature here.

are based on a custom saved search. Contact your NetSuite Administrator for more details regarding this configuration.
