Overview

eXtendFiles Public Upload lets external users—like customers, vendors, or employees—upload files to NetSuite records without logging into NetSuite. Upon upload, these files will be linked to their underlying records.

Prerequisites

Access to a NetSuite record with eXtendFiles Public Upload enabled.

Configuration

Generating a Public Upload Link

  1. Open the relevant NetSuite record (such as a sales order) and navigate to the eXtendFiles subtab.
  2. If not already generated, enable the Generate Public File Upload Link checkbox, and then save your record to generate a public upload link.

  3. This link can now be sent to your customer, vendor, employee, or other external user and they can use it to upload files to the record type on which the link is attached.

Note: If your NetSuite Administrator has set up a formula field to set eXtendFiles field values upon Public File Upload, you can use the configured link to set field values upon public upload as well. See Configuring Static Field Values for Public Uploads in eXtendFiles for more information.

Usage

Using a Public Upload Link

  1. When a user opens a Public Upload Link, they will be directed to a page where they can upload their files.

  2. If the Public Upload is configured with Custom eXtendFiles Attributes for setting values on the eXtendFiles record, these fields will be displayed on the page. If one or more of these fields are mandatory for file upload, the upload section will only appear once these mandatory fields have been populated.

  3. To upload files, users can either drag and drop the files onto the page, or select the "Choose files to upload" button. Once the file has been uploaded, an eXtendFiles record will be created in NetSuite and linked to the underlying record type.

Q: What is the file upload limit?
A: The default public file upload limit is 10 files. This limit can be adjusted in the eXtendFiles Setup by your NetSuite Administrator to a higher value.

Q: Who can use the public upload link?
A: Anyone who has access to the link can use it to upload files and attach them to the record.

Q: How are files shared when using Microsoft Azure?
A: When using Microsoft Azure, the file-sharing type will always be set to "private" for uploaded files.

Q: What kind of files can be uploaded?
A: Any file that is not a Restricted File Extension or Restricted File Size can be uploaded.
