Overview

Use eXtendFiles - Folder Information and eXtendFiles - FileType to Bucket Mapping records to control where uploaded files are stored in your backend storage environment.

This setup lets you route files to the correct folder in Amazon S3, Google Cloud Storage, Microsoft Azure, or Oracle Object Storage automatically by selecting a File Type that is tied to a folder information record. See Using eXtendFiles File Type to Bucket Mapping for upload steps.

This applies to all upload contexts except the eXtendFiles API. For API uploads, folder and bucket details can be specified directly in the API request.

Prerequisites

Before you configure file type to bucket mapping, make sure you have:

  • Backend storage buckets configured in Amazon S3, Google Cloud Storage, Microsoft Azure, or Oracle Object Storage.
  • Any required eXtendFiles folder information records created or planned.
  • The required NetSuite user role permissions configured for users who will use file type to bucket mapping. In addition to the standard eXtendFiles permissions, users need:
    • Setup → Custom Lists: View
    • Custom Record → eXtendFiles - Folder Information: View
    • Custom Record → eXtendFiles - FileType to Bucket Mapping: View

Configuration

File Type to bucket mapping uses two eXtendFiles custom record types:

  • eXtendFiles - Folder Information: Defines the bucket and optional folder where uploaded files are stored.
  • eXtendFiles - FileType to Bucket Mapping: Connects an eXtendFiles File Type to a folder information record so the destination can be selected automatically during upload.

Configure folder information records

Use the eXtendFiles - Folder Information record to define where files should be stored.

When a user selects a folder information record during upload, eXtendFiles stores the file in the bucket and optional folder assigned to that record. You can use folder information records to map files to:

  • Different folders within the same bucket.
  • Different folders across different buckets.

To access the record in NetSuite, go to Customization → Lists, Records, & Fields → eXtendFiles - Folder Information.

Configure file type to bucket mapping

Use the eXtendFiles - FileType to Bucket Mapping record to connect an eXtendFiles File Type to a specific folder information record. Navigate to Customization → Lists, Records, & Fields → eXtendFiles - FileType to Bucket Mapping to access it.

After the mapping is configured, users do not need to manually select an eXtendFiles - Folder Information record during upload. Instead, they can select a File Type, and eXtendFiles automatically uses the mapped folder information record.

The eXtendFiles - FileType to Bucket Mapping record can also define whether files using that mapping should be set as Public or Private.

Enable the feature

Once the underlying eXtendFiles - Folder Information and eXtendFiles - FileType to Bucket Mapping records are in place, enable the feature on the eXtendFiles Configuration page.
  1. Navigate to eXtendTech → eXtendFiles → eXtendFiles Configuration.
  2. Go to eXtendFiles Settings → Advanced Settings.
  3. Enable the Enable File Type To Bucket Mapping preference.
  4. Save your changes.
