Summary
eXtendFiles allows external users, such as customers or vendors, to upload files relevant to their NetSuite records without having to log into NetSuite. This could include artwork, proofs, or other business documents related to a particular record.
Please note that when using Microsoft Azure, the file-sharing type will always be set to "private" for uploaded files.
How to Generate a Public Upload Link
- Navigate to and open the relevant record in NetSuite, such as a Sales Order record, and view the eXtendFiles subtab.
- Enable the Generate Public File Upload Link checkbox, and then Save your record to generate a link.
- This link can now be sent to your customer or vendor. They can then use it to upload files to the record type on which the link is attached.
Extra Information:
- Anyone who has access to the link can use it to upload files and attach them to the record.
- The default public file upload limit is set to 10. However, this number can be changed in the eXtendFiles Setup. Contact your NetSuite Administrator for more information.
Note: If your NetSuite Administrator has set up a formula field for setting eXtendFiles field values upon Public File Upload, you can use the configured link to set field values upon public upload.
How to Use a Public Upload Link
1. When a user opens a Public Upload Link, they will be directed to a page where they can upload their files.
2. If the Public Upload is configured with fields for setting values on the eXtendFiles record, these fields will be displayed on the page. If one or more of these fields are mandatory for file upload, the upload section will only appear once these mandatory fields have been filled in.
3. To upload files, users can either drag and drop the files onto the page, or select the "Choose files to upload" button. Once the file has been uploaded, an eXtendFiles record will be created in your NetSuite account for it.
