Overview

With eXtendFiles, you can use the File Picker to visually pick and associate an existing eXtendFile's URL to a transaction body field on your Opportunity, Estimate (Quote) Sales Order, or Purchase Order.

Additionally, when using the Attach eXtendFiles feature you can visually pick eXtendFiles linked to the entity record of your current transaction to associate it with the current transaction.

Prerequisites

  • For the transaction record(s) where you plan to deploy the File Picker (Opportunity, Estimate (Quote), Sales Order, and/or Purchase Order), it is necessary to create a hyperlink field to be used with the File Picker.
    • For eXtendOrders customers: The "eXtend - Original Artwork Link" field is available for use with the File Picker's "eXtendFile URL" reference.
    • For customers without eXtendOrders: You will need to create a transaction body field of the "Hyperlink" field type for use with the File Picker's "eXtendFile URL" reference.

Configuration

1. Go to eXtendTech→ eXtendFiles → Setup.

2. Select the File Picker subtab on the main eXtendFile Setup page.

3. In the Basic File Picker Configuration sublist configure the information below to complete the basic file picker configuration. An example configuration is below along with descriptions for each field.

Note: depending on your specific NetSuite environment, you may need to select different field values than shown below.

FIELD

DESCRIPTION

FILE PICKER SAVED SEARCH ID

Enter an eXtendFiles-based saved search id containing the criteria you'd like to use for which files are included or excluded from being shown within the File Picker.

See Configure eXtendFiles File Picker to Show Filtered Files from a Saved Search for additional information on the configuration of this field.

FILE PICKER FIELD

Specify an eXtendFiles record field reference from your transaction for the field which will be used to set the selected file from the File Picker. 


Example: eXtendFile Record.

Note: This field must be a list field referencing the eXtendFiles record.

EXTENDFILE URL

Specify the field where the eXtendFiles External URL would be saved after an eXtendFiles record has been selected from the File Picker.

Note: The field should be either a hyperlink field or a free-form text field.

EXTENDFILE FILE URL

Specify the eXtendFiles Record URL field which will be used to set in the eXtendFile URL field above.

Note: If you want to set the original file link then use field the custrecord_extfile_link, or you can use field custrecord_extend_preview_image to set the URL link to the preview image.

FILE PICKER TRANSACTION TYPES

Specify the transaction type(s) on which you want to enable the File Picker feature.

Note: If a value is selected in this field, then the other File Picker configuration fields will be required to be configured before being able to save the eXtendFiles Setup page.

4. Next, navigate to the File Picker Hover Columns Configuration subtab. This section allows you to specify which field values will be shown within the File Picker when previewing files. Please see Configuring File Picker Hover Columns for more information on the use and configuration of this section.

5. The final step is to configure your custom forms to show the File Picker buttons. To do this, customize your File Picker-enabled custom transaction forms and show the fields below on the form.
  • Files File Picker {custbody_extend_file_picker}
  • Files Multiple File Picker {custbody_extend_multiple_file_picker}
